The Expo Group is seeking a Shipping and Operations Coordinator to join our Operations team in Irving, Texas. The shipping and operations coordinator is responsible for the coordination of daily logistical operations and show support. Arranges shipments with third party carriers and local pickups with our TEG drivers. Works closely with operation managers and the show site supervisors to determine shipping requirements.

 

Our perfect candidate will…

Third Party Carriers

  • Coordinates and processes shipments to determine shipping priorities and shipping methods required to meet shipping schedules.
  • Prepares orders for shipment, including shipment documentation with strong attention to detail. Initiates purchase orders for all shipments and uploads into internal system.
  • Works closely with the department supervisors to determine transportation requirements.
  • Plans, implements, and monitors day-to-day transportation operations, including the analysis of on-time reports and delivery reliability.
  • Reviews and schedules the routing of equipment to meet show needs in terms of contractual guidelines, special deliveries, supplemental deliveries, etc.
  • Ensures bill of lading accuracy.
  • Inspects and ensures proper items are loaded on each truck.
  • Ensures Field Operations has appropriate driver information onsite.
  • Ensures trucks are loaded per loading instructions and delivery priority.
  • Checks all orders for possible late orders and notifies the assistant general manager.
  • Communicates non-compliance issues to the assistant general manager.
  • Makes sure all paperwork for shipped and received items is filed correctly in accordance with company standards.
  • Assists the assistant general manager with research and development of new techniques and procedures to increase the efficiency of any transportation operation.
  • Maintains shipping log to reflect invoicing and on-time rates. Works with assistant general manager to resolve invoice errors and overcharges.
  • Maintains and update show schedule as changes occur.
  • Retains safety paperwork from the warehouse and show site teams and ensures they are having tail gate meetings covering safety each day and shift by department.
  • Works with other supervisors in departments to ensure time keeping is being turned in daily and all lates or no shows are reported daily.
  • To learn and cross train in purchasing and shipping and to be able to fill other positions as needed for coverage when people are out.

Private Carrier

  • Ensures all drivers comply with Federal and State regulations. Ensure all employees comply with DOT and FMCSA requirements.
  • Schedule drivers to meet or exceed company expectations.
  • Completes and documents required safety training. 
  • Provides weekly performance reports including delays and missed loads.
  • Supports truck and trailer maintenance program.
  • Orders short term rental trucks when needed
 

This is what we need you to have:

  • Bachelor’s degree in a related major. (preferred)
  • Minimum of three years' experience with the same or similar role.
  • Be a team player, have excellent communication skills, and can work independently as well as in a team environment,
  • Good sound decision making in a time critical environment.
  • Ability to work in a fast-paced environment, effectively balancing multiple concurrent assignments all at once and have a great attitude while completing.
  • Must have a demonstrated working knowledge of Microsoft Word, Excel and Outlook.
  • Must be able to take shorthand notes and convert to email summaries or task individuals with follow up emails regarding task not being complete.
  • Set up meetings and create power point slides to work off of for meetings.
  • Ability to perform tasks involving moderately heavy objects (20-50 pounds)
  • Frequent lifting, bending, stooping, squatting, reaching, pushing and pulling of boxes, as well as frequent movement (walking) throughout the warehouse.
